Resident Services: Q & A for Residents Moving Out
These questions and answers are to help you during your move-out process. Please note the following issues:
Q. Why is there a lockbox on my door?
A. If it has not already happened, you will soon see a sign and lock box on the property. Paragraph # 6 of your lease allows Crown (or other licensed agents) to market the property during the last 60 days of your stay. We will limit our showings of the property during the hours of 9 a.m. to 8 p.m. Our agents will make every effort to contact you before they come. Great courtesy will be shown to you within the limitations of the lease agreement. However, we must have the freedom to show the property.
Q. What is a Move-Out Inspection?
A. Before you took possession, you did a Move-In Inspection to document the condition of the property prior to taking possession. We will do another inspection after you move out. The items that you logged on the Move-In Inspection will keep us from charging you for conditions that existed before you took possession. The time of this Move-Out Inspection will be established by contacting Crown via email or phone. The inspection will be done after you have removed all of your personal property. If the inspector arrives and you are only partially out of the property, he will return another time and you will be charged a $75.00 trip charge. Schedule the inspection time carefully so you are ready.
Q. What are the maintenance charges to me if all items are not satisfactory at move-out?
A. We pay maintenance contractors and cleaning companies to do the work. They charge us retail rates and they are not cheap. You will pay the cost to get each item done. Save yourself money and have the house in shape when you move out. Don’t forget to turn in keys!
Q. Once you have determined the charges for repairs, can I get back in and do it myself?
A. No. Paragraph 8(a) says you will “deliver the Premises to Management in good condition upon termination or expiration of this agreement, leaving said Premises in a clean and sanitary condition.” Once we have completed the move-out inspection, you will not have a chance to return. Do everything you want to do before the inspection.
Q. When do I get my security deposit back?
A. Monies (funds) are returned by mail or in person within 30 days of your move-out. Don’t forget to return keys!
Q. Where will the security deposit check be mailed?
A. The deposit will be mailed to the address that you give us in writing. If no address is given in writing, we will mail it to the property and rely on the postal system to forward it to you. If there are roommates, all names must appear on the check.
Q. What happens if I accidentally take the garage door remotes?
A. If the remotes are missing at move-out, we will charge you for them. Because garage door remotes are expensive and some brands are hard to find, we will give you 5 days to return the remotes to our office. If we receive them within 5 days, we will take the charge off the move-out inspection.
Q. Do I have to be present during the move-out presentation?
A. No. We understand the difficulties in scheduling time away from your job. Your presence is not required at the move-out. We will mail a copy of the move out inspection to you within 3 business days after the termination of possession. If you have any questions at that time, you can talk directly to the person who handled the inspection. Move-Out Inspections are scheduled Monday through Friday between 9 am and 4 pm.
Q. What if I do not have time to do house cleaning, carpet cleaning, flea treatment, landscaping or other repairs?
A. We have reliable people who can do these things for you. We are happy to help. These services must be paid for by you directly.
Q. How is the security deposit disbursed if there are roommates?
A. We will disburse the funds according to written instructions signed by all Residents. If all cannot agree, Crown will disburse one check to all Residents on the lease.
Q. What are my responsibilities if I had a pet?
A. Crown’s pet addendum calls for some specific items that you must do at move-out if you had a pet:
- Have the carpets professionally cleaned and deodorized. Have a receipt ready for Crown when you do your move-out inspection or funds will be withheld to have the carpets cleaned and deodorized.
- Have the carpets professionally treated by a pest control company. Have the receipt ready or Crown will charge for this item.
- Remove all evidence of the pet. Watch for food dishes, pet hair, leashes, holes in the yard, and repair any damage caused by the pet. Owners are particularly sensitive to pet damage, so we will be too.
- Get rid of pet odors.
Q. How do I handle Utilities?
A. You are responsible for your utilities through the day of the inspection. Contact your utility companies and alert them of your moving date. Notify Crown in writing concerning your last day of occupancy so we can have utilities put in our name.

If utilities are off before the Move-Out Inspection is completed, you will be charged $250.00 to get them turned back on. Once a date is set for inspection, do not change it unless you have decided to stay in the property. If you move out a day early or a day late, leave the utility change date alone.
Q. What happens if my Deposit is insufficient to pay all I owe?
A. You must make arrangements to settle up your account within 30 days of your move-out. Every effort will be made to give you time to pay what you owe. Unsettled accounts will be reported to the Credit Bureau and turned over to collection agencies for processing.
